Who is holding your data?

The Environment Study Centre is part of the Edwards Hart Ltd group, so data held by the Environment Study Centre may be visible to the authorised staff in both organisations. Access to this information will be limited and securely protected.

We hold a mailing list of individuals who have expressed an interest in the type of courses we run and may wish to book courses with us. We will also hold data on individuals and organisation who are in a contractual arrangement with us to receive a service from us or to provide a service to us.

This applies when we need to collect data or personal information in order to perform our contractual obligations to you.

This applies also when you have agreed to carry out a contractual obligation for us and we need to hold data such as contract information, your obligation to us and related performance.

This applies when we will hold contact information in order to invoice you for the services we have provided.

We may hold your personal data such as email addresses to further our legitimate business, by enabling us to contact you with information about the services we offer. You will have the right to withdraw your consent to this at all times.

Will the data be shared with any third parties?

We will not share or sell your data to third parties and it will not be used by the other organisation within our group for commercial reasons.

We may however need to share your data with educational / awarding bodies in order to register you for an accredited qualification or awards. We may also need to share your data to allow you access to a venue or event, but this will be strictly on a need to know basis.

We may share your data if required to take or defend legal action, for example, non-payment of an invoice.

How will the information be used?

We will use your information to manage our relationship with you and to administer and deliver our obligations and services to you.

We may also provide you with information on our services, special offers, newsletters, events and hospitality. You will have the option to opt out of any promotional activity.

How long will the data be stored for?

We will not store data for longer than necessary. However, some data may be held for up to six years for legal or audit purposes, such as financial transactions.

Should you choose to unsubscribe from our mailing list using the automated ‘unsubscribe’ button at the foot of the mailing, your data will be removed immediately, should you notify us to remove your data by another means, we will remove your data within 10 days.

How securely will my data be held?

We are strongly committed to security of all information we hold and take all reasonable steps to safeguard it from loss, unauthorised access and misuse.

All our computers are password protected and our mailing lists are further password and security notification protected. We further protect data with anti-virus security software.

What rights do you have regarding the data we hold about you?

You have the right to know what data we hold on you and to correct any information which is inaccurate or incomplete.

You have the right to ask us to remove your data and to stop receiving marketing and promotional information.

You have the right to ask us to remove your data for other reasons. However, if there is a legal reason or other legitimate reason why we need to retain your data we will explain that to you.
